Privacy Policy

1. Who we are & what this covers

Godlinked Technologies ("we", "us", "our") is a software studio based in Nagda Jn., District Ujjain, Madhya Pradesh, India. We build and maintain EduSync — a school management application used by schools, principals, teachers, students, parents, accountants and transport staff.

This Privacy Policy explains what information EduSync collects, why we collect it, who it is shared with, and the choices you have. It applies to the EduSync Android application, its Windows desktop edition, and every school-branded edition of EduSync that we publish for an individual school.

2. Your school controls the data

EduSync is licensed to a school. The school decides what records are entered, who receives an account, and how long records are kept. In data-protection terms the school is the data controller and Godlinked Technologies acts as a data processor — we process information on the school's instructions in order to run the app.

Accounts are created by the school administration, not by users signing themselves up. If you want a record corrected or removed, the fastest route is to contact your school office; you may also write to us directly using the details in section 13.

3. Information we collect

EduSync only collects what a school genuinely needs to run its day-to-day operations. Exactly which fields are used depends on the features your school has enabled.

What we do not collect

• We do not collect contacts, SMS messages, call logs or browsing history.
• We do not track device location in the background for students or parents.
• We do not use advertising identifiers, and the app contains no third-party ad networks.
• We do not record audio or video without an explicit action by the user.

4. Device permissions

EduSync asks for a permission only at the moment a feature needs it. You can refuse any permission — only that one feature stops working, the rest of the app continues normally.

5. How we use information

• To authenticate users and show role-appropriate screens.
• To record and display attendance, marks, homework, fees and other school records.
• To generate documents such as ID cards, certificates, fee receipts, report cards and registers.
• To send notifications about school activity to the right audience.
• To enable communication between the school, staff, students and parents.
• To answer a student's academic question through the AI Help feature.
• To keep the service secure, fix bugs and improve reliability.

We do not use personal data for advertising, profiling, automated decision-making or any purpose unrelated to running the school.

6. Sharing & third-party services

Information is visible inside the app strictly on a need-to-know basis: a parent sees only their own child's records, a teacher sees only their assigned classes, and school administrators see school-wide data.

To operate the app we rely on the following service providers, who process data on our behalf under their own privacy policies:

Some of these providers store data on servers outside India. Beyond them, we disclose personal information only when the school instructs us to, or when we are legally required to do so by a valid order from a court or government authority.

We never sell, rent or trade personal data.

7. Children's privacy

EduSync is an administrative tool provided to a school. Accounts for minors are created by the school with the consent of the school and the child's parent or guardian as part of the admission process — children do not register themselves.

A child's records are visible only to that child, their parent or guardian, their teachers and the school administration. We do not serve advertising to children, do not build behavioural profiles, and do not share children's data with third parties for marketing.

If you believe a child's information has been entered without proper authorisation, contact your school or write to us and we will remove it.

8. How we protect data

• All traffic between the app and our servers is encrypted in transit using HTTPS/TLS.
• Passwords are handled by Google Firebase Authentication and are stored hashed — we never see them in plain text.
• Access is role-based and enforced by server-side security rules, so a user can only read the records their role permits.
• Data is stored on Google Cloud infrastructure with its physical and operational safeguards.

No system can be guaranteed to be perfectly secure. If a breach affects your personal data, we will inform the school without undue delay and support them in notifying affected users.

9. How long we keep data

School records are retained for as long as the school's licence is active, because schools are legally required to preserve academic and financial records for several years. When a student leaves, the record is archived rather than deleted so that transfer certificates and past results remain issuable.

If a school ends its licence, we delete or return its data within 90 days of a written request, except where law requires us to retain it longer.

10. Your rights

Subject to applicable law, including India's Digital Personal Data Protection Act, 2023, you may:

• Ask what personal data about you is held in the app.
• Ask for inaccurate or incomplete information to be corrected.
• Ask for your data to be deleted, where no legal or academic obligation requires us to keep it.
• Withdraw a permission you previously granted, from your device settings.
• Raise a grievance with us and receive a response.

Because the school controls the records, please contact the school office first — they can act immediately. If the matter is not resolved, write to us at the address in section 13 and we will respond within 30 days.

11. Account & data deletion

Full instructions, including what is deleted and what the school must keep, are on our dedicated account deletion page.

To request deletion of your EduSync account and the personal data associated with it:

• Email support@godlinked.in with the subject line "Account Deletion Request".
• Include your full name, your role (student, parent, teacher or staff), and the name of your school. Please write from the email address registered with the app, or include your registered phone number, so we can verify the request.

We will verify the request with your school and complete it within 30 days. On deletion we remove your login credentials, profile details, photographs, chat messages and notification token.

12. Changes to this policy

We may update this policy as the app evolves or as the law changes. The "Last updated" date at the top of this page always reflects the current version. If a change materially affects how personal data is handled, we will notify schools directly and, where appropriate, show a notice inside the app. Continuing to use EduSync after an update means you accept the revised policy.
